The mission goal
The employees in your company have the opportunity to photograph and/or update their own employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the casino or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the chance to identify themselves completely around the clock with their personal employee photo.
The staff photos can be automatically optimized to the appropriate format, freed from annoying elements in the background and optionally saved in different shapes and aspect ratios.
Our proposed solution
You position a photo booth set up for employee photos in your company (e.g. in the personnel department, at the ID office or at the entrance in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box like in a passport photo machine and read the instructions for the necessary steps on the monitor.
The monitor is used as a touchscreen and as an input terminal for the necessary information, e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo booth can also be set up in such a way that the data is read in immediately from the employee ID card. The information collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the employee profile can also be displayed.
After the photograph of the employee picture has been taken, the background of the photo can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved photo and the internal employee data record takes place via the name of the picture. We would be happy to support your IT department in clarifying the import interface.
A biometric check and an adaptation to a biometric ID photo are available as options.
The image output can take place in parallel in different formats.

Of course, each file can also be “personalized” with company logos and/or the name and position of the employee will appear directly on the image.

How does the staff get their photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to get his picture as a file.
- Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to download the original recording and the various formats for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is sent immediately to the employee's email inbox. - Download via QR code from an offline gallery
The Photo Box provides a private WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. This QR code leads to the offline gallery from which employees can download their recordings. In contrast to the online gallery, this route is only possible in the immediate vicinity of the photo booth.

In order to make the best possible use of your investment, you have the following options:

The cost frame
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is purchased immediately.
