The use of a photo box for employee photos

The employees in your company are given the opportunity to photograph and/or update their personal employee photo at a fixed or periodically changing location (e.g. in the dining room or company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional employees are not needed on site.
You give your teams the option to always fully identify themselves with their individual employee photo.

The personal photos are automatically adapted to the appropriate format, freed from annoying elements in the background and optionally saved in many dimensions and aspect ratios.

Our proposed solution

You position a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, similar to the photo booth, and read the instructions for the necessary actions on the display.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. EmployeeID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can simply be read from the employee ID card. The employee data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the recording can also be displayed.

After the employee picture has been taken, the background of the picture can be automatically replaced with one or many backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and placed in a specified position on the final image.

The image is saved in a size and format specified by you (eg square for Active Directory). A comparison is made between the photographed image and the in-house employee data record via the name of the file. We would be happy to help your IT department clarify the connection.

A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place in several formats at the same time.
So you always have the best photo for

Logically, each file can also be “branded” with logos and/or the employee's name and position will be directly visible on the image.

How does the employee get his photo?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to get his photo digitally.

  1. Download via QR code from an offline gallery
    The photobox provides a private WLAN that the employee has to dial into.
    At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery in which the employee can save their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
  2. Enter the email address at the end of the photo sequence.
    The captured photo is immediately sent to the employee's email inbox.
  3. Download from an online gallery
    At the end of the sequence, a code is displayed on the touchscreen or printed out, which the employee can use to copy their original photo and the different sizes for the different target systems.

The need for investment

The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
