What should be achieved?

The employees in your company have the opportunity to create and/or update their individual employee photo at a fixed location or at a rotating location (e.g. in the casino or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your staff the chance to identify themselves completely at any time with their personal employee photo.

The staff photos can be independently optimized to the appropriate format, freed from annoying elements in the background and, if desired, saved in several sizes and aspect ratios.

The solution

You can place a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and read the instructions for the necessary steps on the monitor, similar to a photo booth.

The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the company ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the recording can also be displayed.

After the employee portrait has been taken, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head is also located for each photo, scaled to a specified size and positioned at a defined position on the final image.

The image is saved in a size and aspect ratio defined by you (eg square for Active Directory). The name of the picture is used to compare the photo taken with the internal employee data record. We would be happy to help your IT department specify the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can happen in parallel to different extents.
So you always have the right photo for
Twitter, XING, WhatsApp & Co, the CRM system, LinkedIn, Instagram
etc. are available.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position will appear directly on the image.

How does the employee get their photo?

So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employee to get his picture digitally.

1. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is sent directly to the employee's email address.
2. Download via QR code from an offline gallery
   The photobox provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery where employees can download their recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download their original photo and the various versions for the different target systems.

Other possible uses

To get the most out of your investment, you have the following options:

• Photo attraction at customer events & conferences
• Recording of biometric passport photos and ID photos
• Employee photos (as explained above)
• Photos of groups of visitors, e.g. after a tour

The need for investment

The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is worthwhile for organizations with around 100 employees or more.
Of course, there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept immediately.
