The mission goal

The staff in your company have the opportunity to photograph and / or bring up to date their personal employee photo at a fixed or regularly alternating location (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional employees are not needed on the spot.
You give your staff the opportunity to identify themselves to 100% at any time with their individual employee photo.

The staff photos are automatically optimized for the best possible format, removed from disruptive elements in the background and optionally saved in many formats and aspect ratios.

A suggested solution

You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees will sit in front of the photo box, similar to the passport photo machine, and read the instructions for the necessary steps on the screen.

The screen serves as a touch screen at the same time as an input terminal for the necessary data such as B. ID, first name, last name and / or date of birth.
Alternatively, the Photo Box can also be configured in such a way that the data can simply be read in from the employee ID. The data recorded in this way then becomes a component of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the photo.

Following the photograph of the employee portrait, the background of the photo can automatically be exchanged for one or different backgrounds you have specified. The head is also determined for each photo, scaled to a specified size and placed on the final image at a specified location.

The recording is saved in a size and aspect ratio specified by you (eg square for the ActiveDirectory). A comparison between the photographed photo and the in-house employee data record takes place via the name of the file. We would be happy to help your IT department specify the connection.

A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place in parallel in various formats.

Logically, each file can also be “personalized” with company logos and / or the name and position of the employee will be directly visible on the picture.

How does the employee get his photo?

So that not only the CRM system or the ActiveDirectory come into possession of the new recordings, there are three different ways for staff to receive their picture digitally.

1. Enter the e-mail address at the end of the photo sequence.
   The photo taken is then immediately sent to the employee's email inbox.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed out on the screen, which the staff can use to download the original image and the various sizes for the various target systems.
3. Download from an offline gallery via QR code
   The photobox provides a private WLAN that the staff has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the staff can download their photos. In contrast to the online gallery, this path only goes in the immediate vicinity of the Photo Box.

Alternative uses

To get the most out of your investment, you have the following options:

• Photo attraction at customer events & meetings
• Use at trade fairs to produce personalized “flyers”
• Employee photos (as already described)
• Pictures of groups of visitors, e.g. after a tour
• Recording of biometric passport photos and ID photos

The need for investment

The investment for purchasing a photo box adapted in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
