The mission goal

The employees in your company have the opportunity to create and/or update their own employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional employees are not needed on site.
You give your staff the opportunity to fully identify themselves at any time with their own employee photo.

The personal photos are automatically optimized to the ideal format, freed from disturbing elements in the background and, if desired, saved in different shapes and aspect ratios.

One possible solution

You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary steps on the screen.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the company ID card. The information recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a sharing option for internal/external use of the image.

After the employee picture has been taken, the background of the photo can be automatically replaced with one or more backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and positioned in a defined position on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the file name. We would be happy to support your IT department in defining the connection.

A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
The image output can happen in parallel in many forms.

Of course, each file can also be “branded” with a company logo and/or the name and position of the employee will be immediately visible on the image.

How did the staff come to the picture?

So that not only the CRM system or the ActiveDirectory can enjoy the new photos, there are three different ways for employees to get their photos digitally.

1. Enter the e-mail address at the end of the photo sequence.
   The photo taken is sent immediately to the employee's mailbox.
2. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery where employees can save their recordings. In contrast to the online gallery, this route is only possible in the immediate vicinity of the photo booth.
3. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to download the original recording and the various formats for the various target systems.

Other deployment options

In order to make the most of the purchase, you have the following possible uses:

The cost frame

The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.
