The use of a photo box for employee photos
The employees in your company have the opportunity to create and / or update their individual employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to identify themselves to 100% at any time with their own employee photo.
The staff photos can be independently cut to the ideal format, removed from disruptive elements in the background and optionally saved in various shapes and aspect ratios.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees can sit in front of the photo booth, similar to a passport photo machine, and see the instructions for the necessary actions on the screen.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, family name and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can simply be read from the employee ID. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen can be displayed with a confirmation option for internal / external use of the recording.
After the employee picture has been taken, the background of the picture can be automatically exchanged for one or more of your specified backgrounds. The head is also analyzed for each photo, adjusted to a specified size and positioned on the final image at a defined point.
The recording is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The file name is used to compare the photographed image and the in-house employee data record. We would be happy to support your IT department in defining the interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place synchronously in different sizes.

Of course, each file can also be “branded” with a company logo and / or the name and position of the employee are immediately visible on the picture.

How does the employee get his picture?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for employees to get their photos as a file.
- Download via QR code from an offline gallery
The photobox provides a private WLAN that the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery from which the employee can download his photos. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box.
- Enter the e-mail address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's inbox.
- Download from an online gallery
At the end of the photo sequence, a code is displayed or printed out on the screen, which the employee can use to download the original image and the different sizes for the various target systems.
To get the most out of your investment, you have the following options:

Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
