The use of a photo box for employee photos

The staff in your company have the opportunity to create and/or update their own employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the option to identify themselves to 100% around the clock with their personal employee photo.

The staff photos are automatically cut to the optimal format, freed from annoying elements in the background and optionally saved in many sizes and aspect ratios.

A suggested solution

You place a photo booth perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box, just like with the passport photo machine, and see the operating instructions for the necessary steps on the screen.

The monitor serves as a touchscreen at the same time as an input terminal for the required information, such as B. Personnel number, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can be read directly from the company ID card. The data recorded in this way will later become an element of the file name of the employee photo taken.
Optionally, a privacy screen can be set up with a checkbox for internal/external use of the photo.

Following the recording of the employee picture, the background of the recording can be automatically replaced with one or several backgrounds specified by you. The head of each photo is also determined, scaled to a specified size and placed in a defined position on the final image.

The image is saved in a size and format you specify (eg square for Active Directory). The name of the file is used to compare the photograph taken with the in-house employee data record. We would be happy to help your IT department specify the connection.

A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can take place in several sizes at the same time.

Of course, each file can also be “personalized” with the company logo and/or the employee's name and position will be directly visible on the image.

How does the employee get his picture?

To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for the workforce to choose from to get their photo digitally as well.

1. Entry of the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's email inbox.
2. Download via QR code from an offline gallery
   The photobooth provides a private WLAN which the workforce has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the staff can load their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
3. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to download their original photo and the various formats for the various target systems.

Other uses

To get the most out of your investment, you have the following options:

The need for investment

The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the chance to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over directly.
