The mission goal

The employees in your company are given the opportunity to create and / or update their own employee photo at a fixed or periodically changing location (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on the spot.
This gives your teams the option of fully identifying themselves around the clock with their personal employee photo.

The staff photos can be automatically adjusted to the best possible format, removed from annoying elements in the background and, if desired, saved in different sizes and aspect ratios.

A suggested solution

You position a photobox set up for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees are allowed to stand in front of the photo box, similar to a passport photo machine, and read the instructions for the required actions on the screen.

The monitor serves as a touch screen at the same time as an input terminal for the necessary data such as B. Personnel number, name, family name and / or date of birth.
Alternatively, the photobox can also be configured in such a way that the data can be read in immediately from the employee ID card. The information collected in this way then becomes a component of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the employee profile can also be displayed.

After taking the photo of the employee picture, the background of the recording can be automatically replaced with one or more of your specified backgrounds. The head is also determined for each photo, adjusted to a specified size and positioned at a specified location on the final image.

The photo is saved in a size and format specified by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the captured image with the in-house employee data record. We would be happy to help your IT department specify the interface.

As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place synchronously in different sizes.

How does the employee get their photo?

So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, the employee can choose between three different ways to receive his picture digitally.

1. Download via QR code from an offline gallery
   The Photobox provides its own WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery where the employee can download his photos. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo booth.
2. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo will be sent to the employee's email address.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to copy down his or her original recording and the various sizes for the various target systems.
