What should be achieved?

The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the dining room or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional employees are not needed on site.
You give your teams the chance to identify themselves completely with their individual employee photo at any time.

The personal photos are automatically adapted to the appropriate format, removed from annoying elements in the background and, if desired, saved in different sizes and aspect ratios.

Our proposed solution

You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box, similar to a passport photo machine, and see the operating instructions for the necessary actions on the screen.

The monitor serves as a touch screen at the same time as an input terminal for the necessary data, e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read in immediately from the employee ID card. The data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a checkbox for internal/external use of the recording.

After photographing the employee portrait, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head of each photo is also identified, scaled to a specified size and placed in a specified position on the final image.

The photo is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the photographed portrait and the internal employee data record via the name of the file. We would be happy to help your IT department define the interface.

A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place synchronously in some formats.
So you always have the right photo for
Facebook, the CRM system, Twitter, Outlook
etc. lying ready.

Of course, each file can also be “branded” using the company logo and/or the name and position of the employee will appear directly on the image.

How did the staff come to the picture?

So that not only the CRM system or the Active Directory can enjoy the new images, there are three different ways for the employee to choose from to get their image digitally as well.

1. Enter the e-mail address at the end of the photo sequence.
   The photo taken is sent directly to the employee's email address.
2. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to copy his original image and the different sizes for the various target systems.
3. Download via QR code from an offline gallery
   The Photo Box provides a private WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery where employees can download their pictures. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth.

Other deployment options

To get the most out of your investment, you have the following options:

• Photo attraction at customer events & conferences
• Use at employee parties (summer party, Christmas party ...}
• Use at trade fairs to produce personalized “flyers”
• Recording of biometric passport photos and ID photos

The need for investment

The price for purchasing a photobooth optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased immediately.
