The mission goal

The employees in your company have the opportunity to take their own employee photo and / or bring it up to date at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that you do not need extra personnel on site.
You give your staff the opportunity to always fully identify themselves with their personal employee photo.

The staff photos are automatically optimized to the best possible format, removed from disruptive elements in the background and optionally saved in many dimensions and aspect ratios.

A suggested solution

You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary steps on the monitor.

The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. Personal identification, name, surname and / or date of birth.
Alternatively, the Photo Box can also be set up so that the data can be read directly from the company ID card. The data recorded in this way are then part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the employee profile.

After the photo of the employee's picture has been taken, the background of the recording can be automatically exchanged for one or many of the backrounds you have specified. The head is also analyzed for each photo, adjusted to a specified size and positioned at a specified location on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for the ActiveDirectory). A comparison is made between the photographed photo and the in-house employee data set via the file name. We would be happy to help your IT department specify the interface.

A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take place in different sizes at the same time.

Of course, each file can also be “personalized” by means of a company logo and / or the name and position of the employee are immediately visible on the picture.

How does the employee get the photo?

So that not only the CRM system or the ActiveDirectory can benefit from the new images, there are three different ways for employees to receive their photos as a file.

1. Entry of the email address at the end of the photo sequence.
   The captured photo is then sent to the employee's mailbox.
2. Download from an offline gallery via QR code
   The photo box provides a private WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery in which the employee can download his recordings. In contrast to the online gallery, this path only goes in the immediate vicinity of the Photo Box.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to copy down his or her original recording and the different sizes for the various target systems.

Additional deployment options

To get the most out of your investment, you have the following options:

The cost frame

The investment for the acquisition of such an optimized photo booth starts at approx. 4,400 € plus VAT and pays off for organizations with around 100 employees.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
