The mission goal
The field staff in your company have the option of photographing and/or updating the individual employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the casino or the company canteen or human resources department).
It is essential that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your workforce the opportunity to identify themselves to 100% at any time with their own employee photo.
The personal photos can be automatically optimized to the best format, removed from disturbing elements in the background and optionally saved in many dimensions and aspect ratios.
Our proposed solution
You position a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box in a similar way to the passport photo machine and see the instructions for the necessary steps on the screen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information, e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is read directly from the company ID card. The employee data collected in this way is then a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the image can also be displayed.
After the photograph of the employee picture has been taken, the background of the recording can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a defined position on the final image.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the file is used to compare the portrait taken with the internal employee data record. We would be happy to help your IT department define the interface.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can happen to many dimensions at the same time.

etc. lying ready.
Logically, each file can also be “personalized” with the help of the company logo and/or the name and position of the employee can appear directly on the image.

How does the employee get the picture?
So that not only the CRM system or the ActiveDirectory gets the benefit of the new photos, there are three different ways for the sales representative to get his photo digitally.
- Entry of the email address at the end of the photo sequence.
In this case, the photo taken is immediately sent to the employee's mailbox. - Download from an offline gallery via QR code
The photobooth provides a private WLAN into which the field service employee has to dial.
At the end of the recording, a QR code is displayed on the screen. This QR code leads to the offline gallery where the sales representative can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the sales representative can use to download his original photo and the various versions for the various target systems.

The cost frame
The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 or more employees.
Of course there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased immediately.
