The mission goal

The employees in your company have the opportunity to create and / or update their personal employee photo at a fixed or regularly alternating location (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that extra personnel are not needed on site.
You give your staff the option to identify themselves at any time to 100% with their personal employee photo.

The staff photos can be automatically adjusted to the best possible format, removed from annoying elements in the background and optionally saved in different shapes and aspect ratios.

Our proposed solution

You position a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box, similar to a passport photo machine, and read the operating instructions for the necessary actions on the touchscreen.

The monitor serves as a touchscreen in parallel as an input terminal for the necessary information such as B. Employee ID, first name, family name and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the company ID card. The data collected in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the image.

After the employee picture has been taken, the background of the recording can be automatically exchanged for one or many of the backgrounds you have specified. The head is also determined for each photo, scaled to a specified size and placed on the final image at a specified location.

The photo is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). A comparison is made between the photographed photo and the in-house employee data set via the file name. We would be happy to support your IT department in specifying the interface.

A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can take place simultaneously in various dimensions.
So you always have the right photo for

etc. ready.

Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee are directly on the picture.

How does the employee get the picture?

So that the CRM system or the ActiveDirectory alone does not benefit from the new photos, there are three different ways for the employee to receive his picture as a file.

1. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the employee can download his recordings. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
2. Enter the email address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's mailbox.
3. Download from an online gallery
   At the end of the recording, a code is displayed or printed on the touchscreen, which the employee can use to download the original recording and the different formats for the various target systems.

Additional deployment options

In order to get the most out of your investment, you have the following options:

The need for investment

The price for buying a photo box optimized in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the option to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over immediately.
