The use of a photo box for employee photos

The employees in your company are given the opportunity to photograph and/or update the individual employee photo at a fixed location or at locations that change on a regular basis (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to identify themselves to 100% around the clock with their personal employee photo.

The personal photos are automatically adjusted to the optimal format, freed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.

One possible solution

You place a photo box perfect for employee photos in your company (e.g. in the personnel department, at the ID office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, like at a passport photo machine, and read the instructions for the necessary actions on the display.

The monitor serves as a touchscreen at the same time as an input terminal for the required information such as B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can be read directly from the business card. The employee data collected in this way will later become part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the recording can also be set up.

After photographing the employee portrait, the background of the image can be automatically replaced with one or various backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a defined point on the final image.

The recording is saved in a size and aspect ratio defined by you (eg square for the Active Directory). A comparison is made between the recorded image and the in-house employee data record via the name of the file. We would be happy to support your IT department in specifying the import interface.

A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place in parallel in various forms.

Logically, each file can also be “personalized” with company logos and/or the employee's name and position can also be visible on the image.

How does the photographed person get the photo?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to choose from to get his photo digitally as well.

1. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to download his original photo and the different sizes for the various target systems.
2. Enter the e-mail address at the end of the photo sequence.
   The captured photo is then sent to the employee's mailbox.
3. Download from an offline gallery via QR code
   The photobox provides a private WLAN which the employee has to dial into.
   At the end of the recording, a QR code will appear on the screen. That QR code leads to the offline gallery from which the employee can download his photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth.

Other possible uses

In order to make the best possible use of the acquisition, you have the following options:

The need for investment

The investment for the purchase of such an optimized photo box starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the chance to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.
