The use of a photo box for employee photos

The employees in your company have the opportunity to photograph and / or update their own employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional employees are not needed on the spot.
You give your employees the option to fully identify themselves at any time with their personal employee photo.

The staff photos can be independently adapted to the appropriate format, removed from disturbing elements in the background and, if desired, saved in different dimensions and aspect ratios.

Our proposed solution

You position a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees can sit in front of the photo box, similar to the passport photo machine, and see the instructions for the necessary actions on the monitor.

The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. ID, first name, last name and / or date of birth.
Alternatively, the photobox can also be configured in such a way that the data can easily be read from the employee ID. The data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the image can be set up.

After the employee picture has been taken, the background of the picture can be automatically replaced with one or many of the background settings you have specified. The head of every photo is also found, scaled to a specified size and placed on the final image at a specified location.

The recording is saved in a size and format specified by you (e.g. square for the ActiveDirectory). The file name is used to compare the photographed image and the in-house employee data record. We would be happy to support your IT department in determining the connection.

A biometric check and an adaptation to a biometric ID photo are available as an option.
The image output can take place at the same time to some extent.

Logically, each file can also be “branded” with the help of the company logo and / or the name and position of the employee are immediately shown on the picture.

How does the employee get the photo?

So that not only the CRM system or the ActiveDirectory can benefit from the new recordings, the employee can choose between three different ways to get his photo as a file.

  1. Download via QR code from an offline gallery
    The photo box provides a private WLAN that the employee has to dial into.
    At the end of the recording, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the employee can download his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.
  2. Download from an online gallery
    At the end of the photo sequence, a code is displayed or printed out on the touchscreen, which the employee can use to download the original photo and the different formats for the various target systems.
  3. Entry of the email address at the end of the photo sequence.
    The photo taken is sent directly to the employee's mailbox.
