What should be achieved?
The employees in your company have the opportunity to photograph their own employee photo and/or update it at a fixed location or at a rotating location (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the option to always identify themselves to 100% with their individual employee photo.
The personal photos can be automatically adjusted to the optimal format, freed from disturbing elements in the background and optionally saved in a number of shapes and aspect ratios.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photobooth in a similar way to a passport photo machine and read the operating instructions for the necessary actions on the display.
The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Employee ID, first name, family name and / or date of birth.
Alternatively, the Photo Box can also be set up in such a way that the data can be read immediately from the company ID card. The information recorded in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the employee profile can also be displayed.
After the employee photo has been taken, the background of the recording can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is determined, scaled to a specified size and positioned at a specified location on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the picture is used to compare the picture taken and the internal employee data record. We would be happy to help your IT department define the import interface.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place at the same time to some extent.

How does the employee get his picture?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new images, there are three different ways for employees to get their image digitally.
- Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download their original photo and the various formats for the different target systems.
- Enter the email address at the end of the photo sequence.
The photo taken is then sent to the employee's mailbox.
- Download via QR code from an offline gallery
The photo box provides a private WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. This QR code leads to the offline gallery from which employees can load their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Further deployment options
In order to get the most out of your purchase, you have the following options:

The need for investment
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is worthwhile for organizations with around 100 or more employees.
Of course, there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over directly.
Since the system was introduced in 2019, two photo boxes have been permanently installed in Germany and Switzerland.
