The use of a photo box for employee photos

The employees in your company are given the opportunity to photograph and / or update their personal employee photo at a fixed location or at a location that changes periodically (e.g. in the dining room or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that extra staff is not needed on site.
You give your employees the opportunity to always identify themselves to 100% with their own employee photo.

The staff photos can be independently optimized to the appropriate format, freed from disruptive elements in the background and, if desired, saved in different shapes and aspect ratios.

Our proposed solution

You position a photobooth set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo booth, similar to the passport photo machine, and read the instructions for the necessary actions on the display.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Personnel number, first name, last name and / or date of birth.
Alternatively, the photo box can also be configured so that the data can be read in directly from the employee ID card. The employee data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal / external use of the recording can also be displayed.

After the photo of the employee portrait, the background of the photo can be automatically exchanged for one or more backgrounds you have specified. The head is also determined for each photo, scaled to a specified size and placed on the final image at a specified location.

The recording is saved in a size and format you have specified (e.g. square for the ActiveDirectory). A comparison between the photographed photo and the internal employee data record takes place via the name of the picture. We would be happy to support your IT department in defining the connection.

A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can occur synchronously in different dimensions.

How does the employee get the photo?

So that the CRM system or ActiveDirectory alone does not benefit from the new images, employees can choose between three different ways of receiving their image as a file.

  1. Download via QR code from an offline gallery
    The photo box provides its own WLAN that the employee has to dial into.
    At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery in which the employee can save his photos. In contrast to the online gallery, this path only works in the direct vicinity of the photo box.
  2. Enter the e-mail address at the end of the photo sequence.
    The photo taken is then sent directly to the employee's email inbox.
  3. Download from an online gallery
    At the end of the photo sequence, a code is displayed or printed out on the touchscreen, which the employee can use to copy down his or her original photo and the different sizes for the different target systems.

Alternative deployment options

In order to make the best possible use of the acquisition, you have the following possible uses:

The need for investment

The cost of purchasing a customized photo box starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
