The use of a photo box for employee photos

The employees in your company have the option to create and/or update the individual employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the chance to identify themselves at any time to 100% with their own employee photo.

The staff photos are automatically optimized to the right format, freed from distracting elements in the background and saved in many sizes and aspect ratios if desired.

Our proposed solution

You place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box and read the operating instructions for the necessary steps on the display, similar to the photo booth.

The monitor serves as a touch screen at the same time as an input terminal for the necessary data, e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be programmed in such a way that the data is immediately read from the employee ID card. The employee data recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a confirmation option for internal/external use of the employee portrait.

After the employee photo has been taken, the background of the photo can be automatically replaced with one or several backgrounds specified by you. Likewise, the head of each photo is determined, scaled to a specified size and positioned at a specified location on the final image.

The recording is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the saved photo and the internal employee data record via the name of the file. We would be happy to help your IT department clarify the interface.

A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place in parallel in different dimensions.
So you always have the right photo for
LinkedIn, Instagram, Facebook, WhatsApp & Co, the CRM system, Twitter, Outlook
etc. within easy reach.

Logically, each file can also be "branded" with company logos and/or the name and position of the employee will be immediately included in the image.

How does the photographed person get the photo?

So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for employees to receive their photos digitally.

1. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery from which employees can download their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
2. Entry of the email address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's mailbox.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to copy his original photo and the different sizes for the different target systems.

The need for investment

The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over immediately.
