The mission goal
The employees in your company get the opportunity to photograph and/or update the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this is the case in the form of a self-service process and that additional employees are not needed on the spot.
You give your employees the opportunity to fully identify themselves at any time with their individual employee photo.
The personal photos can be automatically optimized to the optimal format, freed from annoying elements in the background and optionally saved in certain dimensions and aspect ratios.
You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary steps on the display.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the employee ID card. The information collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the image.
After photographing the employee portrait, the background of the recording can be automatically replaced with one or several backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and positioned in a defined position on the final image.
The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the stored image and the internal employee data record takes place via the file name. We would be happy to support your IT department in defining the import interface.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place in many dimensions at the same time.

Of course, each file can also be “branded” with company logos and/or the name and position of the employee will be directly visible on the image.

How did the staff get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employees to get their picture as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to download the original recording and the various formats for the different target systems.
- Download via QR code from an offline gallery
The Photo Box provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to an offline gallery from which employees can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
- Enter the e-mail address at the end of the photo sequence.
The photo taken is sent directly to the employee's email address.
Other possible uses

The cost frame
The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the possibility to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
Since the implementation of the system in 2019, two photo boxes have been permanently installed in this country and in Switzerland.
