The use of a photo box for employee photos
The employees in your company are given the opportunity to create and/or update their own employee photo at a fixed location or at regularly alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that extra employees are not needed on site.
You give your teams the option to identify themselves around the clock to 100% with their individual employee photo.
The personal photos can be cut to the ideal format by machine, freed from annoying elements in the background and optionally saved in a number of sizes and aspect ratios.
Our proposed solution
You can position a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box and read the instructions for the necessary actions on the touchscreen, just like with the passport photo machine.
The monitor serves as a touch screen in parallel as an input terminal for the necessary data, e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be configured in such a way that the data is read in immediately from the employee ID card. The employee data recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the image can also be displayed.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or more of the backgrounds you have specified. The head of each photo is also determined, adjusted to a specified size and placed in a specified position on the final image.
The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved image and the internal employee data record takes place via the file name. We would be happy to support your IT department in defining the import interface.
A biometric check and a cut to a biometric ID photo are also available.
The image output can take place at the same time to different extents.

Of course, each file can also be "personalized" with company logos and/or the name and position of the employee can be immediately included in the picture.

How does the employee get the picture?
So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the employee to get his photo digitally.
- Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's email inbox.
- Download via QR code from an offline gallery
The photobooth provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery where employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download their original photo and the various sizes for the different target systems.
Additional deployment options
In order to get the most out of your purchase, you have the following possible uses:

The need for investment
The investment for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased directly.
Since the system was implemented in 2019, two systems have been set up permanently in Germany and Zurich.
Both at WWZ AG in CH and at Haufe Lexware, the system is very popular with colleagues.
