What should be achieved?
The employees in your company have the option of taking photos and / or bringing them up to date at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra employees are not needed on the spot.
You give your staff the chance to always fully identify themselves with their personal employee photo.
The staff photos can be independently cut to the appropriate format, freed from disturbing elements in the background and optionally saved in different sizes and aspect ratios.
Our proposed solution
You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There the employees can sit in front of the photo box, similar to the passport photo machine, and see the instructions for the necessary actions on the display.
The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. ID, first name, family name and / or date of birth.
Alternatively, the photobox can also be set up so that the data can be read directly from the company ID card. The information collected in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen can be set up with a release option for internal / external use of the recording.
After the photograph of the employee picture, the background of the picture can be automatically replaced with one or different backrounds you have specified. The head of each photo is also analyzed, scaled to a specified size and positioned on the final image at a defined point.
The image is saved in a size and format defined by you (eg square for the ActiveDirectory). A comparison is made between the photographed image and the in-house employee data record via the name of the image. We would be happy to help your IT department specify the interface.
A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image can be output in several formats at the same time.

Of course, each file can also be “branded” with the company logo and / or the name and position of the employee can be on the picture.

How did the staff get the photo?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for employees to get their picture digitally.
- Download via QR code from an offline gallery
The photobox provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery from which the employee can download his pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
- Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to download the original recording and the various formats for the different target systems.
- Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox.
Further deployment options
In order to get the most out of your investment, you have the following options:

The need for investment
The price for purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the chance to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is adopted immediately.
