The use of a photo box for employee photos

The employees in your company have the opportunity to create and/or update their own employee photo at a fixed location or at alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need extra employees on site.
You give your employees the chance to identify themselves completely around the clock with their personal employee photo.

The personal photos are automatically optimized to the appropriate format, freed from annoying elements in the background and, if desired, saved in certain dimensions and aspect ratios.

The solution

You can place a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box and read the instructions for the necessary steps on the display, similar to the photo booth.

The screen serves as a touch screen in parallel as an input terminal for the required data such as e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photobooth can also be programmed in such a way that the data is simply read from the employee ID card. The information recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a sharing option for internal / external use of the photo.

After the photograph of the employee picture has been taken, the background of the recording can be automatically replaced with one or several backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and placed in a specified position on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the stored portrait and the in-house employee data record takes place via the file name. We would be happy to support your IT department in clarifying the interface.

A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can be done synchronously in several sizes.

Logically, each file can also be “branded” with company logos and/or the employee's name and position will be immediately visible on the image.

How did the staff come to the picture?

So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the employee to get his photo digitally.

1. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery where employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download their original photo and the various formats for the different target systems.
3. Enter the email address at the end of the photo sequence.
   In this case, the photo taken is immediately sent to the employee's e-mail inbox.

The cost frame

The cost of purchasing a customized photo box starts at around €4,400 plus VAT, making it worthwhile for organizations with around 100 employees or more.
Of course, there is also the chance to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is adopted immediately.
