The mission goal

The employees in your company have the opportunity to photograph and/or update their personal employee photo at a fixed location or at regularly alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra employees on site.
You give your employees the chance to always identify themselves to 100% with their individual employee photo.

The staff photos are automatically adjusted to the right format, freed from disturbing elements in the background and optionally saved in various dimensions and aspect ratios.

The solution

You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a relaxed corner.
The space requirement is around 1.5mx 1m.
There, the employees can stand in front of the photo box in a similar way to a passport photo machine and read the instructions for the necessary actions on the touchscreen.

The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read directly from the company ID card. The employee data collected in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the photo can also be displayed.

After the employee portrait has been taken, the background of the image can be automatically replaced with one or more backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a defined position on the final image.

The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the photographed portrait and the internal employee data record takes place via the file name. We would be happy to help your IT department specify the interface.

A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can happen in parallel in many sizes.

Of course, each file can also be "personalized" with company logos and/or the name and position of the employee will be immediately included in the picture.

How does the employee get his photo?

To ensure that the CRM system or ActiveDirectory is not the only one to benefit from the new images, there are three different ways for the employee to choose from to also receive their image digitally.

1. Download via QR code from an offline gallery
   The Photo Box provides a private WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery from which employees can download their pictures. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth.
2. Entry of the email address at the end of the photo sequence.
   In this case, the captured photo is sent directly to the employee's mailbox.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download their original photo and the various formats for the various target systems.

Additional uses

To get the most out of your investment, you have the following options:

• Use at employee parties (summer party, Christmas party ...}
• Employee photos (as described above)
• Use at trade fairs to produce personalized “flyers”
• Photos of groups of visitors, for example after a presentation
• Photo attraction at customer events & meetings

The need for investment

The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased directly.
