The use of a photo box for employee photos
The field staff in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at rotating locations (e.g. in the casino or company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional employees are not needed on the spot.
You give your teams the option to always identify themselves to 100% with their individual employee photo.
The personal photos are automatically optimized to the appropriate format, freed from disturbing elements in the background and, if desired, saved in different sizes and aspect ratios.
You place a photo booth optimized for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, just like with the passport photo machine, and see the instructions for the necessary steps on the screen.
The screen serves as a touch screen in parallel as an input terminal for the required information such as e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is simply read in from the business card. The employee data collected in this way is later part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the employee profile can also be displayed.
After the employee photo has been photographed, the background of the photo can be automatically replaced with one or more backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and positioned at a defined position on the final image.
The recording is saved in a size and format specified by you (eg square for Active Directory). A comparison between the photographed portrait and the internal employee data record takes place via the name of the picture. We would be happy to help your IT department define the interface.
As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can happen simultaneously in different forms.

Logically, each file can also be “personalized” with a company logo and/or the name and position of the employee will appear directly on the image.

How does the photographed person get their photo?
So that not only the CRM system or the Active Directory can enjoy the new pictures, there are three different ways for the sales representative to get his picture digitally.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the sales representative can use to download his original photo and the different formats for the different target systems.
- Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox.
- Download from an offline gallery via QR code
The photo box provides a private WLAN that the sales representative has to dial into.
At the end of the sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery where the sales representative can download his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the Photo Box.
Other possible uses

The cost frame
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
