The use of a photo box for employee photos
The field staff in your company have the opportunity to photograph and/or update their own employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional employees are not needed on the spot.
You give your employees the chance to always identify themselves to 100% with their individual employee photo.
The personal photos can be automatically adapted to the ideal format, freed from disturbing elements in the background and optionally saved in several formats and aspect ratios.
The solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo booth, similar to the photo booth, and see the instructions for the necessary actions on the display.
The screen serves as a touch screen at the same time as an input terminal for the required data such as e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is immediately read from the employee ID card. The data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the photo.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or several backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and positioned in a defined position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the stored image and the internal employee data record takes place via the name of the file. We would be happy to support your IT department in clarifying the import interface.
A biometric check and an adaptation to a biometric ID photo are also available.
The image output can take place in several sizes at the same time.

Logically, each file can also be “branded” using the company logo and/or the employee's name and position can be directly visible on the image.

How does the employee get the photo?
So that not only the CRM system or the Active Directory gets the benefit of the new pictures, there are three different ways for the sales representative to choose from to get his picture digitally as well.
- Entry of the email address at the end of the photo sequence.
In this case, the captured photo is sent directly to the employee's email address. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the field worker can use to load his original recording and the various formats for the various target systems. - Download via QR code from an offline gallery
The photo box provides a private WLAN that the field worker has to dial into.
At the end of the recording, a QR code will appear on the screen. This QR code leads to the offline gallery where the sales representative can save his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The cost frame
The investment for the purchase of a photobooth optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
