What should be achieved?

The field staff in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at a periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the option to identify themselves completely around the clock with their personal employee photo.

The personal photos can be automatically cut to the optimal format, removed from annoying elements in the background and optionally saved in several dimensions and aspect ratios.

Our proposed solution

You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box in the same way as with a passport photo machine and read the instructions for the necessary steps on the touchscreen.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information, e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data can simply be read from the employee ID card. The information recorded in this way is later part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal/external use of the employee portrait.

After the employee portrait has been taken, the background of the image can be automatically replaced with one or several backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and positioned in a specified position on the final image.

The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the picture is used to compare the portrait taken with the internal employee data set. We would be happy to support your IT department in defining the import interface.

A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place at the same time in different dimensions.
So you always have the right photo for
WhatsApp & Co, Instagram, the CRM system, XING, Twitter, LinkedIn
etc. within easy reach.

Of course, each file can also be “branded” using the logo and/or the employee's name and position will be immediately visible on the image.

How did the staff get the photo?

To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for the sales representative to receive his photo as a file.

1. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the sales representative can use to download the original recording and the various formats for the various target systems.
2. Enter the email address at the end of the photo sequence.
   In this case, the captured photo will be sent directly to the employee's mailbox.
3. Download from an offline gallery via QR code
   The photo box provides its own WLAN which the sales representative has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the field worker can save his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

Other uses

To get the most out of your investment, you have the following options:

• Photos of groups of visitors, e.g. after a lecture
• Employee photos (as described above)
• Creation of biometric passport photos and ID photos
• Use at trade fairs to produce personalized “flyers”
• Photo attraction at customer events & congresses
• Use at sales force parties (summer party, Christmas party ...}

The need for investment

The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over immediately.
