The use of a photo box for employee photos
The employees in your company have the opportunity to photograph and/or update their own employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that extra staff is not needed on the spot.
You give your teams the option to always fully identify themselves with their own employee photo.
The personal photos are automatically adjusted to the optimal format, removed from disturbing elements in the background and optionally saved in different sizes and aspect ratios.
A suggested solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, employees can sit down in front of the photo box and read the operating instructions for the necessary steps on the display, as with the passport photo machine.
The monitor serves as a touchscreen at the same time as an input terminal for the required information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read in immediately from the employee ID card. The employee data collected in this way is then later part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the image.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or several backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a specified position on the final image.
The photo is saved in a size and aspect ratio that you specify (eg square for Active Directory). A comparison is made between the saved image and the internal employee data record via the name of the file. We would be happy to help your IT department clarify the connection.
A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place in different formats at the same time.

Of course, each file can also be “branded” using the company logo and/or the name and position of the employee can appear directly on the image.

How does the employee get their photo?
To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, there are three different ways for employees to receive their photo as a file.
- Entry of the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email inbox.
- Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download their original photo and the various formats for the various target systems.
- Download from an offline gallery via QR code
The photo box provides a private WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery where employees can save their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
Other possible uses
In order to make the best possible use of the acquisition, you have the following options:
- Use at employee parties (summer party, Christmas party ...}
- Recordings of groups of visitors, e.g. after a lecture
- Employee photos (as explained above)
- Creation of biometric passport photos and ID photos

The cost frame
The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
Since the implementation of the system in 2019, two photo boxes have been permanently installed in Germany and Switzerland.
