The mission goal

The staff in your company have the option of creating and/or updating the individual employee photo at a fixed location or at locations that change on a regular basis (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that extra personnel are not needed on site.
You give your staff the chance to identify themselves to 100% around the clock with their individual employee photo.

The personal photos can be automatically adjusted to the optimal format, removed from disturbing elements in the background and optionally saved in different shapes and aspect ratios.

A suggested solution

You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, similar to the photo booth and see the instructions for the necessary actions on the screen.

The screen serves as a touch screen in parallel as an input terminal for the required data, e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the employee ID card. The information recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the photo.

After the employee picture has been taken, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and placed in a defined position on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the stored image and the internal employee data record takes place via the file name. We would be happy to help your IT department specify the interface.

A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can happen in several sizes at the same time.
So you always have the ideal photo for
WhatsApp & Co, the CRM system, Instagram, Twitter
etc. ready.

Of course, each file can also be “personalized” with the company logo and/or the name and position of the employee will appear directly on the image.

How does the employee get the picture?

To ensure that the CRM system or Active Directory alone does not get hold of the new images, there are three different ways for the workforce to receive their image as a file.

1. Enter the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's mailbox.
2. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to download their original photo as well as the various versions for the various target systems.
3. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the workforce has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery where employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

Other possible uses

To get the most out of your investment, you have the following options:

The need for investment

The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
