What should be achieved?

The workforce in your company has the option of taking their own employee photo and / or bringing it up to date at a fixed or regularly alternating location (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional employees are not needed on site.
You give your staff the option to always fully identify themselves with their personal employee photo.

The personnel photos are automatically cut to the appropriate format, freed from disturbing elements in the background and, if desired, saved in different sizes and aspect ratios.

One possible solution

You can position a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit down in front of the photo box, similar to a passport photo machine, and see the operating instructions for the necessary steps on the screen.

The screen serves as a touch screen at the same time as an input terminal for the required information such as B. ID, name, family name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the company ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the recording can also be displayed.

After the photo of the employee portrait has been taken, the background of the recording can be automatically exchanged for one or more background settings you have specified. The head is also determined for each photo, adjusted to a specified size and positioned at a specified location on the final image.

The recording is saved in a size and aspect ratio defined by you (e.g. square for the ActiveDirectory). A comparison between the photographed image and the internal employee data record takes place via the file name. We would be happy to support your IT department in specifying the connection.

A biometric check and a cut to a biometric ID photo are available as an option.
The image output can take place synchronously in different dimensions.

Logically, each file can also be “personalized” with logos and / or the name and position of the employee can be directly visible on the picture.

How do the staff get their picture?

So that not only the CRM system or the ActiveDirectory get the new pictures, there are three different ways for the workforce to get their photo digitally.

1. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's mailbox.
2. Download from an offline gallery via QR code
   The photo box provides its own WLAN that the workforce has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery in which the staff can download their recordings. In contrast to the online gallery, this way only works in the direct vicinity of the photo box.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the staff can use to download their original photo and the different formats for the various target systems.

Other possible uses

To get the most out of your investment, you have the following options:

• Use at trade fairs to issue personalized “flyers”

The cost frame

The investment for the purchase of a photo box adapted in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over immediately.
