The mission goal

The workforce in your company has the option of photographing and / or updating their own employee photo at a fixed or regularly alternating location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the chance to identify themselves at any time to 100% with their individual employee photo.

The staff photos can be automatically optimized to the best format, freed from disturbing elements in the background and, if desired, saved in various dimensions and aspect ratios.

Our proposed solution

You place a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit down in front of the photo box, similar to the passport photo machine, and see the operating instructions for the necessary steps on the monitor.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Personal identification, name, family name and / or date of birth.
Alternatively, the photobox can also be configured so that the data can be read directly from the company ID card. The employee data collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the recording.

After the photo of the employee's picture has been taken, the background of the recording can be automatically exchanged for one or many of the background settings you specified. The head is also determined for each photo, scaled to a specified size and placed on the final image at a specified location.

The photo is saved in a size and format defined by you (e.g. square for the ActiveDirectory). The file name is used to compare the saved photo and the internal employee data record. We would be happy to support your IT department in clarifying the interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image can be output in many sizes at the same time.
So you always have the right photo for
the CRM system, Instagram, Twitter, Facebook
etc. lying ready.

Logically, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee can be immediately on the picture.

How does the staff get their photo?

So that not only the CRM system or the ActiveDirectory can enjoy the new photos, there are three different ways for the workforce to choose to receive their photo digitally.

1. Download from an online gallery
   At the end of the sequence, a code is displayed or printed out on the screen, which the staff can use to download their original photo and the various versions for the different target systems.
2. Enter the email address at the end of the photo sequence.
   In this case, the captured photo will be sent directly to the employee's mailbox.
3. Download via QR code from an offline gallery
   The photobox provides its own WLAN which the workforce has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery in which the staff can save their recordings. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.

Other deployment options

In order to make the best possible use of the acquisition, you have the following options:

• Use at staff parties (summer party, Christmas party ...}
• Recordings of groups of visitors, e.g. after a tour
• Photo attraction at customer events & meetings
• Use at trade fairs to produce personalized “flyers”
• Employee photos (as explained above)

The need for investment

The cost of purchasing a photo booth adapted in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the option to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
