The mission goal
The field staff in your company have the option of photographing and/or updating the individual employee photo at a fixed location or at rotating locations (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on the spot.
You give your teams the chance to always fully identify themselves with their personal employee photo.
The personal photos are automatically optimized to the optimal format, freed from annoying elements in the background and saved in various dimensions and aspect ratios if desired.
One possible solution
You place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box in a similar way to a passport photo machine and read the instructions for the necessary actions on the monitor.
The screen serves as a touch screen in parallel as an input terminal for the necessary information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the employee ID card. The data recorded in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the employee portrait can also be set up.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is determined, scaled to a specified size and positioned at a specified location on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the name of the file. We would be happy to help your IT department determine the connection.
As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place synchronously in various forms.

Of course, each file can also be “personalized” with a company logo and/or the name and position of the employee will also be visible on the image.

How does the employee get the picture?
To ensure that the CRM system or the Active Directory are not the only ones to get hold of the new photos, there are three different ways for the sales representative to get his photo digitally.
- Enter the email address at the end of the photo sequence.
The photo taken is then sent directly to the employee's e-mail inbox.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the field service employee can use to load his original recording and the various sizes for the various target systems.
- Download via QR code from an offline gallery
The photobooth provides a private WLAN that the sales representative has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the sales representative can download his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

In order to make the best possible use of your investment, you have the following options:

The need for investment
The investment for the purchase of a photobooth perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
Since the implementation of the system in 2019, two photo boxes have been set up permanently in this country and in Zurich.
