The mission goal

The field service employees in your company have the opportunity to create and / or update the individual employee photo at a fixed or periodically alternating location (e.g. in the casino or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not needed on the spot.
You give your teams the opportunity to identify themselves completely around the clock with their personal employee photo.

The staff photos can be independently cut to the best possible format, freed from annoying elements in the background and optionally saved in various shapes and aspect ratios.

Our proposed solution

You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo booth, similar to a passport photo machine, and read the instructions for the required actions on the monitor.

The screen serves as a touch screen in parallel as an input terminal for the necessary data such as B. ID, first name, last name and / or date of birth.
Alternatively, the photo booth can also be set up in such a way that the data can be read directly from the employee ID card. The data recorded in this way are then a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal / external use of the image can also be set up.

After the photograph of the employee portrait, the background of the picture can be automatically replaced with one or different backgrounds you have specified. The head of each photo is also determined, scaled to a specified size and placed on the final image at a specified location.

The recording is saved in a size and format defined by you (e.g. square for the ActiveDirectory). A comparison between the saved image and the internal employee data record takes place via the name of the image. We would be happy to support your IT department in specifying the interface.

A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can be done synchronously in different sizes.
So you always have the best possible photo for
Instagram, LinkedIn, XING, Outlook
etc. are available.

Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee can be immediately visible on the picture.

How does the staff get their photo?

So that the CRM system or the ActiveDirectory does not just get the new photos, the sales representative can choose between three different ways to get his photo as a file.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed out on the touchscreen, which the sales representative can use to download the original image and the different sizes for the different target systems.
2. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is sent directly to the employee's mailbox.
3. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the sales representative has to dial into.
   At the end of the recording, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the sales representative can download his recordings. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo booth.

Additional deployment options

In order to make the best possible use of the acquisition, you have the following options:

• Employee photos (as already described)

• Photos of groups of visitors, for example after a tour of the company
• Production of biometric passport photos and ID photos

The cost frame

The investment for purchasing a photo booth adapted in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the chance to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept immediately.
