The mission goal
The staff in your company have the option of creating and/or updating their personal employee photo at a fixed location or at a rotating location (e.g. in the casino or company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional on-site personnel are not required.
You give your teams the chance to identify themselves at any time to 100% with their individual employee photo.
The staff photos are automatically adjusted to the optimal format, freed from annoying elements in the background and saved in certain dimensions and aspect ratios if desired.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box in the same way as with a passport photo machine and see the instructions for the necessary actions on the display.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Employee ID, name, surname and/or date of birth.
Alternatively, the Photo Box can also be programmed in such a way that the data is read in immediately from the company ID card. The data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal / external use of the photo can be set up.
After photographing the employee picture, the background of the picture can be automatically exchanged for one or several backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a defined position on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). A comparison between the saved photo and the internal employee data record takes place via the file name. We would be happy to help your IT department specify the interface.
A biometric check and a cut to a biometric ID photo are available as an optional extension.
The image output can happen in different dimensions at the same time.

Logically, each file can also be “personalized” with a company logo and/or the employee's name and position can appear directly on the image.

How does the employee get his photo?
So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the workforce to get their photo as a file.
- Download via QR code from an offline gallery
The photobooth provides a private WLAN that the workforce has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
- Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's email address.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the workforce can use to download the original photo and the various formats for the various target systems.
Other possible uses
To get the most out of your investment, you have the following options:

The need for investment
The price for purchasing a photobooth optimized in this way starts at around €4,400 plus VAT and is worthwhile for companies with around 100 employees or more.
Of course, there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over immediately.
Since the implementation of the system in 2019, two photo boxes have been permanently installed in this country and in Switzerland.
