The mission goal
The employees in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at locations that change on a regular basis (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that you do not need additional staff on site.
You give your employees the chance to identify themselves completely around the clock with their personal employee photo.
The staff photos can be automatically cut to the right format, removed from disturbing elements in the background and optionally saved in various sizes and aspect ratios.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box, just like at a passport photo machine, and read the instructions for the necessary steps on the display.
The screen serves as a touch screen at the same time as an input terminal for the required information such as B. ID, name, surname and/or date of birth.
Alternatively, the photobox can also be configured so that the data can be read directly from the company ID card. The employee data collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen can be displayed with a release option for internal / external use of the photo.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or many backgrounds specified by you. Likewise, the head of each photo is analyzed, adjusted to a specified size and placed in a specified position on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the photographed portrait and the internal employee data record via the name of the file. We would be happy to support your IT department in specifying the import interface.
A biometric check and a cut to a biometric ID photo are available as options.
The image output can take place in several dimensions at the same time.
So you always have the perfect photo for
LinkedIn, Facebook, WhatsApp & Co, XING, the CRM system
etc. at hand.
Of course, each file can also be “personalized” with a company logo and/or the name and position of the employee will be directly visible on the image.

How does the employee get the picture?
To ensure that the CRM system or Active Directory alone does not get hold of the new images, there are three different ways for the employee to choose to also receive their photo as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download his original photo and the various sizes for the different target systems.
- Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's email inbox.
- Download from an offline gallery via QR code
The photo box provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code will appear on the screen. The QR code leads to the offline gallery where employees can download their images. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Other possible uses

The cost frame
The cost of purchasing a photobooth adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 or more employees.
Of course, there is also the chance to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over immediately.
Since the system was implemented in 2019, two photo boxes have been permanently installed in Germany and Zurich.
Both at WWZ AG in CH and at Haufe Lexware, the system is very well received by employees.
