The use of a photo box for employee photos
The employees in your company have the option of taking their own employee photo and / or bringing it up to date at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that no extra personnel is needed on site.
You give your employees the opportunity to always identify themselves to 100% with their personal employee photo.
The staff photos can be automatically cut to the optimum format, removed from annoying elements in the background and optionally saved in many dimensions and aspect ratios.
A suggested solution
You position a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit down in front of the photo box, similar to a passport photo machine, and see the operating instructions for the required actions on the touchscreen.
The monitor serves as a touchscreen at the same time as an input terminal for the required data such as B. Employee ID, first name, family name and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the company ID card. The information recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the employee profile.
After the photo of the employee portrait, the background of the photo can be automatically replaced with one or various background settings you specify. The head is also determined for each photo, scaled to a specified size and positioned on the final image at a specified position.
The recording will be saved in a size and aspect ratio that you have specified (e.g. square for the Active Directory). The file name is used to compare the saved image and the internal employee data record. We would be happy to support your IT department in specifying the interface.
As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place synchronously in different forms.

Of course, each file can also be “personalized” with the help of the logo and / or the name and position of the employee will appear directly on the picture.

How did the staff get the photo?
So that the CRM system or the ActiveDirectory alone does not benefit from the new photos, there are three different ways for employees to receive their image as a file.
- Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to copy down his original recording and the various formats for the different target systems.
- Download via QR code from an offline gallery
The photo box provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which the employee can copy his pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
- Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's email address.
