What should be achieved?
The employees in your company have the opportunity to create and / or update their personal employee photo at a fixed or regularly alternating location (e.g. in the casino, the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to identify themselves completely around the clock with their own employee photo.
The staff photos can be automatically adapted to the optimal format, removed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box, similar to a passport photo machine, and see the operating instructions for the necessary steps on the touchscreen.
The screen serves as a touchscreen at the same time as an input terminal for the required data such as B. ID, first name, last name and / or date of birth.
Alternatively, the photo booth can also be programmed so that the data can be read directly from the employee ID. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a release option for internal / external use of the recording can also be displayed.
After the employee picture has been taken, the background of the picture can be automatically exchanged for one or different backgrounds you have specified. The head is also analyzed for each photo, adjusted to a specified size and positioned on the final image at a specified position.
The image is saved in a size and aspect ratio that you specify (e.g. square for the ActiveDirectory). The file name is used to compare the saved portrait and the in-house employee data set. We would be happy to help your IT department clarify the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place in parallel in different forms.

Of course, each file can also be “branded” with company logos and / or the name and position of the employee are directly visible on the picture.

How does the photographed person get the picture?
So that the CRM system or the ActiveDirectory alone does not benefit from the new recordings, there are three different ways for employees to get their picture as a file.
- Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. This QR code leads to an offline gallery in which the employee can load his recordings. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box.
- Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to copy down his or her original recording and the various sizes for the different target systems.
- Entry of the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's inbox.
Alternative deployment options
In order to get the most out of your investment, you have the following options:

The need for investment
The investment for the purchase of such a perfected photo box starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over directly.
