What should be achieved?
The employees in your company have the opportunity to photograph and / or update their own employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
This gives your workforce the opportunity to fully identify themselves at any time with their personal employee photo.
The staff photos can be automatically cut to the appropriate format, freed from annoying elements in the background and, if desired, saved in different dimensions and aspect ratios.
Our proposed solution
You position a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo booth in the same way as with the passport photo machine and read the instructions for the required steps on the screen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can be read out immediately from the company ID card. The employee data collected in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the image can also be displayed.
After the employee picture has been taken, the background of the picture can be automatically exchanged for one or various backgrounds you have specified. The head is also analyzed for each photo, adjusted to a specified size and positioned on the final image at a defined point.
The recording is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The name of the image is used to compare the recorded image and the internal employee data record. We would be happy to support your IT department in specifying the interface.
A biometric check and a cut to a biometric ID photo are available as an option.
The image output can take place synchronously in different dimensions.
So you always have the perfect photo for

Of course, each file can also be “branded” with the help of the company logo and / or the name and position of the employee will appear on the picture.

How does the employee get his photo?
So that the CRM system or the ActiveDirectory alone does not benefit from the new photos, there are three different ways for the employee to receive his photo as a file.

In this case, the captured photo is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed out on the screen, which the employee can use to download the original photo and the different sizes for the various target systems. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. That QR code leads to the offline gallery in which the employee can upload his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the Photo Box.

The need for investment
The investment for the acquisition of such a perfected photo box starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept directly.
