The use of a photo box for employee photos
The employees in your company have the option of photographing and/or updating their personal employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional staff are not needed on site.
You give your employees the opportunity to always identify themselves to 100% with their own employee photo.
The staff photos are automatically adjusted to the optimal format, removed from annoying elements in the background and saved in different sizes and aspect ratios if desired.
You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit in front of the photo box, just like with a passport photo machine, and see the operating instructions for the necessary actions on the screen.
The monitor serves as a touch screen in parallel as an input terminal for the required data, e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can be read directly from the company ID card. The information collected in this way is then subsequently an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the recording.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The recording is saved in a size and format you specify (eg square for Active Directory). The name of the file is used to compare the photo taken with the internal employee data record. We would be happy to help your IT department clarify the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place in parallel in many dimensions.

Of course, each file can also be “personalized” with a company logo and/or the name and position of the employee will be immediately included in the picture.

How did the staff get the photo?
To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, the employee has three different ways of getting his photo as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to download his original photo as well as the different versions for the different target systems.
- Download via QR code from an offline gallery
The photobox provides a private WLAN that the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which the employee can save his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
- Enter the email address at the end of the photo sequence.
In this case, the captured photo will be sent immediately to the employee's email address.
Further deployment options
In order to get the most out of your investment, you have the following options:

The cost frame
The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 or more employees.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept immediately.
