What should be achieved?
The employees in your company get the opportunity to create and/or update their own employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the dining room or company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the chance to identify themselves completely around the clock with their own employee photo.
The personal photos are automatically adapted to the appropriate format, removed from disturbing elements in the background and optionally saved in various formats and aspect ratios.
A suggested solution
You place a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photobooth in a similar way to the passport photo machine and see the instructions for the necessary actions on the monitor.
The screen serves as a touchscreen at the same time as an input terminal for the required information such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is read in immediately from the company ID card. The employee data recorded in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal / external use of the recording can also be displayed.
After the employee picture has been photographed, the background of the recording can be automatically replaced with one or different backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and placed in a specified position on the final image.
The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the saved photo and the internal employee data record via the name of the picture. We would be happy to help your IT department define the connection.
A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can be in many forms simultaneously.

Of course, each file can also be “personalized” with the help of the logo and/or the name and position of the employee will be included in the picture.

How does the photographed person get the picture?
So that not only the CRM system or the ActiveDirectory gets into possession of the new recordings, there are three different ways for the employee to receive his photo as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download their original photo and the different formats for the various target systems.
- Download via QR code from an offline gallery
The Photobooth provides its own WLAN, which the employee must dial into.
At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery from which the employee can download their images. In contrast to the online gallery, this route is only possible in the immediate vicinity of the photo booth.
- Entry of the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's email address.

The need for investment
The price for purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased directly.
