What should be achieved?

The employees in your company have the option of taking their own employee photo and / or bringing it up to date at a fixed or regularly alternating location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need extra staff on site.
You give your employees the option to always fully identify themselves with their personal employee photo.

The staff photos are automatically cut to the optimal format, freed from annoying elements in the background and, if desired, saved in many dimensions and aspect ratios.

The solution

You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box in the same way as with a passport photo machine and read the instructions for the necessary steps on the touchscreen.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Employee ID, name, surname and / or date of birth.
Alternatively, the photo booth can also be configured in such a way that the data can be read out directly from the company ID card. The data recorded in this way are then later an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the image.

After the photograph of the employee portrait, the background of the picture can be automatically exchanged for one or more of your specified backrounds. The head of each photo is also located, adjusted to a specified size and placed on the final image at a defined location.

The image is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). A comparison between the saved image and the internal employee data record takes place via the name of the file. We would be happy to support your IT department in defining the import interface.

A biometric check and a cut to a biometric ID photo are available as an option.
The image output can take place synchronously in different dimensions.

Logically, each file can also be “personalized” with logos and / or the name and position of the employee can also appear on the picture.

How does the employee get his picture?

So that the CRM system or the ActiveDirectory alone does not come into possession of the new recordings, employees can choose between three different ways to get their picture digitally.

1. Download from an offline gallery via QR code
   The photo box provides a private WLAN that the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery in which the employee can save his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
2. Enter the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's email address.
3. Download from an online gallery
   At the end of the sequence, a code is displayed or printed out on the touchscreen, which the employee can use to download his or her original recording and the various versions for the various target systems.

Other deployment options

In order to make the best possible use of the acquisition, you have the following options:

The need for investment

The price for purchasing such a perfected photo box starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
It goes without saying that there is also the option of trying out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
