What should be achieved?
The employees in your company have the opportunity to take their individual employee photo and / or bring it up to date at a fixed or alternating location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra employees are not needed on the spot.
You give your employees the chance to identify themselves to 100% around the clock with their individual employee photo.
The staff photos are automatically cut to the ideal format, removed from annoying elements in the background and, if desired, saved in various formats and aspect ratios.
One possible solution
You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID office or at the entrance in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees will sit down in front of the photo box, similar to the passport photo machine, and see the instructions for the necessary steps on the touchscreen.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can simply be read from the employee ID. The information collected in this way then becomes a component of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the photo.
After the photo of the employee's picture has been taken, the background of the recording can automatically be replaced with one or various background settings you have specified. The head is also determined for each photo, adjusted to a specified size and positioned on the final image at a specified location.
The image is saved in a size and aspect ratio specified by you (eg square for the ActiveDirectory). A comparison between the saved portrait and the internal employee data record takes place via the name of the file. We would be happy to support your IT department in determining the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place in parallel in some formats.

How does the employee get his picture?
So that the CRM system or ActiveDirectory alone does not benefit from the new photos, there are three different ways for employees to receive their photos as a file.
- Entry of the email address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's mailbox.
- Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which employees can download their photos. In contrast to the online gallery, this way only works in the direct vicinity of the photo booth.
- Download from an online gallery
At the end of the sequence, a code is displayed or printed out on the screen, which the employee can use to download his or her original recording and the various formats for the various target systems.
Alternative deployment options
To get the most out of your investment, you have the following options:

The need for investment
The price for purchasing a photobox adapted in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the possibility to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
