The mission goal
The employees in your company get the opportunity to create and/or update their personal employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or human resources department).
It is important that this is done in the form of a self-service process and that extra employees are not needed on the spot.
You give your staff the opportunity to identify themselves completely at any time with their personal employee photo.
The staff photos are automatically cut to the best format, freed from annoying elements in the background and optionally saved in different sizes and aspect ratios.
One possible solution
You place a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box and read the instructions for the necessary steps on the screen, just like with the passport photo machine.
The screen serves as a touchscreen at the same time as an input terminal for the required information such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the Photo Box can also be set up in such a way that the data is simply read in from the employee ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a release option for internal / external use of the recording.
After the employee picture has been taken, the background of the picture can be automatically exchanged for one or various backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.
The image is saved in a size and format you specify (eg square for Active Directory). A comparison between the saved image and the in-house employee data record takes place via the name of the image. We would be happy to help your IT department specify the import interface.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can take place synchronously in various dimensions.

Of course, each file can also be “personalized” with the help of the logo and/or the name and position of the employee can be included in the image.

How does the staff get their photo?
So that not only the CRM system or the Active Directory gets the benefit of the new recordings, there are three different ways for the employees to get their picture as a file.
- Enter the e-mail address at the end of the photo sequence.
The photo taken is immediately sent to the employee's e-mail inbox.
- Download via QR code from an offline gallery
The photobooth provides its own WLAN which the employee has to dial into.
At the end of the sequence, a QR code will appear on the screen. The QR code leads to an offline gallery from which employees can save their pictures. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth.

At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download their original photo and the different formats for the various target systems.

The need for investment
The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is kept immediately.
Since the system was introduced in 2019, two photo boxes have been permanently installed in Germany and Switzerland.
