The use of a photo box for employee photos

The employees in your company are given the option to photograph and / or update their own employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional employees are not needed on the spot.
You give your workforce the chance to identify themselves completely at any time with their personal employee photo.

The staff photos are automatically cut to the appropriate format, freed from annoying elements in the background and optionally saved in several dimensions and aspect ratios.

A suggested solution

You can position a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary steps on the display.

The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel number, first name, last name and / or date of birth.
Alternatively, the photo box can also be configured so that the data can simply be read from the company ID card. The data recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the employee profile can also be displayed.

After the employee picture has been taken, the background of the photo can be automatically exchanged for one or different backgrounds you have specified. In the same way, the head is found for each photo, adjusted to a specified size and positioned on the final image at a specified position.

The image is saved in a size and format that you specify (eg square for the ActiveDirectory). A comparison is made between the photographed portrait and the internal employee data set via the file name. We would be happy to support your IT department in specifying the connection.

How does the employee get the picture?

So that the CRM system or the ActiveDirectory alone does not come into possession of the new recordings, there are three different ways for employees to receive their photos digitally.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the screen, which the employee can use to download his or her original recording and the different versions for the various target systems.
2. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery from which the employee can save his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
3. Entry of the email address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's mailbox.
