The use of a photo box for employee photos
The employees in your company are given the opportunity to photograph and/or update the individual employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the option to always identify themselves to 100% with their personal employee photo.
The personal photos can be automatically optimized to the ideal format, freed from disturbing elements in the background and, if desired, saved in many dimensions and aspect ratios.
Our proposed solution
You place a photobox set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo box, just like with a passport photo machine, and see the operating instructions for the necessary actions on the touchscreen.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the Photo Box can also be programmed in such a way that the data is simply read in from the business card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the image.
After the employee photo has been taken, the background of the photo can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a specified position on the final image.
The image is saved in a size and format you specify (eg square for Active Directory). The name of the picture is used to compare the saved portrait with the in-house employee data set. We would be happy to help your IT department determine the interface.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can take place in several forms at the same time.
So you always have the ideal photo for
Facebook, Outlook, WhatsApp & Co, the CRM system, Twitter, LinkedIn, Instagram, XING
etc. at hand.
Of course, each file can also be “personalized” with company logos and/or the employee's name and position will be immediately visible on the image.

How does the photographed person get the picture?
So that the CRM system or Active Directory alone does not get hold of the new images, there are three different ways for employees to get their image digitally.
- Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the company employee can use to download his original photo and the different sizes for the various target systems.
- Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox.
- Download via QR code from an offline gallery
The photobooth provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery where employees can load their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The need for investment
The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
Since the system was implemented in 2019, two photo boxes have been permanently installed in Germany and Zurich.
