The use of a photo box for employee photos
The employees in your company have the opportunity to take their own employee photo and / or bring it up to date at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that you do not need extra personnel on site.
You give your employees the option to always fully identify themselves with their personal employee photo.
The staff photos are automatically adapted to the ideal format, removed from annoying elements in the background and optionally saved in various dimensions and aspect ratios.
One possible solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary actions on the monitor.
The screen serves as a touch screen in parallel as an input terminal for the required data such as B. Personal identification, first name, last name and / or date of birth.
Alternatively, the photobox can also be configured so that the data can be read out immediately from the company ID card. The information collected in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the employee profile.
After the photo of the employee has been taken, the background of the photo can be automatically exchanged for one or different backgrounds you have specified. The head of each photo is also determined, scaled to a specified size and positioned on the final image at a defined point.
The recording is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the saved portrait and the in-house employee data record. We would be happy to support your IT department in determining the import interface.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place simultaneously in different forms.

Logically, each file can also be “personalized” with company logos and / or the name and position of the employee are immediately visible on the picture.

How does the employee get the photo?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, employees can choose between three different ways to receive their image as a file.
- Download from an online gallery
At the end of the recording, a code is displayed or printed out on the touchscreen, which the employee can use to load his or her original photo and the various sizes for the various target systems. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to an offline gallery from which employees can load their pictures. In contrast to the online gallery, this way only works in the direct vicinity of the photo box.
