The mission goal
The employees in your company get the opportunity to photograph their own employee photo and/or update it at a fixed location or at alternating locations (e.g. in the casino or the company canteen or human resources department).
It is essential that this is the case in the form of a self-service process and that you do not need additional personnel on site.
You give your employees the chance to identify themselves at any time to 100% with their individual employee photo.
The personal photos can be automatically adapted to the best possible format, removed from disturbing elements in the background and optionally saved in different sizes and aspect ratios.
Our proposed solution
You place a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box and read the instructions for the necessary actions on the screen, just like at a passport photo machine.
The screen serves as a touchscreen at the same time as an input terminal for the required information such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can simply be read from the employee ID card. The employee data recorded in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a checkbox for internal/external use of the image.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or many backgrounds specified by you. Likewise, the head of each photo is analyzed, scaled to a specified size and positioned at a specified location on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved photo and the internal employee data record takes place via the name of the picture. We would be happy to support your IT department in specifying the connection.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place in many formats at the same time.
So you always have the ideal photo for

etc. are available.
Of course, each file can also be "branded" with logos and/or the designation and position of the employee can be visible on the image.

How did the staff come to the picture?
So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the employee to get his photo digitally.
- Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to download their original photo and the different formats for the various target systems.
- Download via QR code from an offline gallery
The photobox provides a private WLAN that the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery where employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
- Enter the email address at the end of the photo sequence.
Then the captured photo is sent directly to the employee's mailbox.
Other possible uses
In order to make the most of the purchase, you have the following options:
- Use at employee parties (summer party, Christmas party ...}
- Production of biometric passport photos and ID photos
- Recordings of groups of visitors, e.g. after a lecture
- Employee photos (as explained above)

The need for investment
The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT, making it worthwhile for companies with around 100 or more employees.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept directly.
Since the system was implemented in 2019, two photo boxes have been permanently installed in Germany and Zurich.
Both at WWZ AG in CH and at Haufe Lexware, the system is very popular with employees.
