What should be achieved?
The employees in your company get the opportunity to create and/or update their own employee photo at a fixed location or at a periodically changing location (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra employees on site.
You give your employees the option to identify themselves at any time to 100% with their personal employee photo.
The staff photos are automatically adapted to the appropriate format, freed from annoying elements in the background and optionally saved in many dimensions and aspect ratios.
The solution
You place a photo box optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box, similar to a passport photo machine, and see the operating instructions for the necessary steps on the display.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read directly from the employee ID card. The information collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the image.
After the picture of the employee has been taken, the background of the picture can be automatically exchanged for one or different backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a defined position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the name of the picture. We would be happy to support your IT department in specifying the import interface.
A biometric check and a cut to a biometric ID photo are available as optional add-ons.
The image output can happen in different forms at the same time.

Logically, each file can also be “branded” using the company logo and/or the name and position of the employee can appear directly on the image.

How does the photographed person get their photo?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new images, there are three different ways for employees to get their image as a file.

The photo taken is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to download their original photo and the different versions for the various target systems. - Download via QR code from an offline gallery
The photobooth provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery where employees can download their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.

The cost frame
The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over directly.
