The use of a photo box for employee photos

The staff in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at locations that change on a regular basis (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your employees the option to identify themselves completely around the clock with their personal employee photo.

The staff photos can be automatically cut to the optimal format, freed from annoying elements in the background and optionally saved in various sizes and aspect ratios.

Our proposed solution

You place a photo box that is perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit down in front of the photo box and see the instructions for the necessary steps on the monitor, just like with the passport photo machine.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Personnel number, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be set up so that the data is simply read in from the employee ID card. The employee data collected in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the image.

After the photograph of the employee picture has been taken, the background of the picture can be automatically replaced with one or various backgrounds specified by you. The head of each photo is also determined, scaled to a specified size and placed in a specified position on the final image.

The image is saved in a size and aspect ratio defined by you (eg square for Active Directory). A comparison between the stored portrait and the in-house employee data record takes place via the file name. We would be happy to help your IT department clarify the interface.

A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can happen in parallel in different sizes.

etc. at hand.

Of course, each file can also be “branded” with the company logo and/or the name and position of the employee can be included in the image.

How does the employee get the picture?

To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, there are three different ways for staff to choose to receive their photo as a file.

1. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the staff can use to download the original recording and the different versions for the various target systems.
2. Download via QR code from an offline gallery
   The photo box provides its own WLAN that the staff has to dial into.
   At the end of the recording, a QR code is displayed on the screen. The QR code leads to an offline gallery where staff can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
3. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.

To get the most out of your investment, you have the following options:

The need for investment

The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over directly.
