What should be achieved?

The staff in your company are given the option to photograph and / or update their personal employee photo at a fixed or regularly alternating location (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that you do not need extra personnel on site.
This gives your staff the option to always fully identify themselves with their individual employee photo.

The staff photos can be automatically adjusted to the best possible format, freed from annoying elements in the background and optionally saved in many dimensions and aspect ratios.

A suggested solution

You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box, similar to the passport photo machine, and read the operating instructions for the necessary actions on the touchscreen.

The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. Personal identification, first name, family name and / or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID card. The information collected in this way is then a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the employee profile can also be displayed.

After the photo of the employee's picture has been taken, the background of the recording can be automatically exchanged for one or various background settings you have specified. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.

The recording is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The file name is used to compare the recorded portrait and the internal employee data record. We would be happy to support your IT department in specifying the connection.

A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place in parallel in different dimensions.

Logically, each file can also be “personalized” by means of a company logo and / or the name and position of the employee can immediately appear on the picture.

How does the employee get his photo?

So that the CRM system or the ActiveDirectory alone does not come into possession of the new recordings, there are three different ways for the staff to receive their picture as a file.

1. Download from an offline gallery via QR code
   The photo box provides its own WLAN which the staff has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery from which the staff can download their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the recording, a code is displayed or printed out on the touchscreen, which the staff can use to download the original recording and the various versions for the various target systems.
3. Enter the email address at the end of the photo sequence.
   In this case, the photo taken will be sent immediately to the employee's email address.

Additional uses

In order to make the best possible use of the acquisition, you have the following options:

• Photo attraction at customer events & conferences
• Creation of biometric passport photos and ID photos
• Photos of groups of visitors, e.g. after a lecture
• Use at staff parties (summer party, Christmas party ...}
• Use at trade fairs to create personalized “flyers”

The need for investment

The cost of purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and pays off for organizations with around 100 employees.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.

Customer ratings

Since the system was introduced in 2019, two photo boxes have been permanently installed in Germany and Switzerland.
