What should be achieved?
The staff in your company get the chance to create and/or update their personal employee photo at a fixed or periodically changing location (e.g. in the dining room or company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional staff are not needed on site.
You give your staff the chance to identify themselves completely around the clock with their own employee photo.
The staff photos can be automatically adjusted to the best possible format, removed from disturbing elements in the background and optionally saved in several formats and aspect ratios.
You place a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit in front of the photo box, similar to the photo booth, and see the instructions for the necessary actions on the screen.
The screen serves as a touch screen in parallel as an input terminal for the necessary information such as B. ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read directly from the employee ID card. The employee data collected in this way is then part of the file name of the employee photo taken.
Optionally, a privacy screen with a checkbox for internal/external use of the photo can also be set up.
After the employee picture has been taken, the background of the recording can be automatically exchanged for one or many backgrounds specified by you. Likewise, the head of each photo is analyzed, scaled to a specified size and positioned at a defined point on the final image.
The photo is saved in a size and format specified by you (eg square for Active Directory). A comparison between the recorded image and the internal employee data record takes place via the file name. We would be happy to help your IT department clarify the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place at the same time in different dimensions.
So you always have the best possible photo for
the CRM system, Outlook, Twitter, LinkedIn, WhatsApp & Co, Instagram, Facebook
etc. lying ready.
Of course, each file can also be "personalized" with company logos and/or the name and position of the employee will also appear on the image.

How does the photographed person get their photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the staff to choose to get their photo digitally as well.
- Download via QR code from an offline gallery
The photobooth provides its own WLAN which the staff has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery where staff can load their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
- Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the staff can use to copy their original photo and the various formats for the various target systems.
- Enter the email address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's email inbox.
In order to get the most out of your investment, you have the following options:

The cost frame
The investment for the purchase of a photobooth optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 or more employees.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over immediately.
Since the system was implemented in 2019, two systems have been permanently installed in Germany and Zurich.
