The mission goal
The staff in your company are given the opportunity to photograph and/or update their own employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional employees on site.
You give your teams the chance to identify themselves at any time to 100% with their individual employee photo.
The personal photos can be automatically adapted to the appropriate format, freed from disturbing elements in the background and optionally saved in many dimensions and aspect ratios.
One possible solution
You position a photo box optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo booth like in a photo booth and read the operating instructions for the necessary steps on the display.
The monitor serves as a touch screen in parallel as an input terminal for the necessary information, e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be set up in such a way that the data can be read directly from the company ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the image can also be set up.
After the photograph of the employee picture has been taken, the background of the recording can be automatically replaced with one or different backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and positioned in a specified position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the recorded image and the in-house employee data record via the file name. We would be happy to support your IT department in defining the connection.
A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can take place simultaneously in different dimensions.
So you always have the ideal photo for

Logically, each file can also be “branded” with company logos and/or the employee's name and position can be included directly in the image.

How does the photographed person get the picture?
So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the staff to choose from to get their photo digitally as well.
- Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the staff can use to copy their original photo and the various versions for the various target systems.
- Download from an offline gallery via QR code
The photo box provides a private WLAN which the staff has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery where staff can save their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
- Enter the email address at the end of the photo sequence.
Then the captured photo is sent directly to the employee's mailbox.
Further deployment options
To get the most out of your purchase, you have the following options:

The cost frame
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
Since the system was implemented in 2019, two systems have been set up permanently in this country and in Zurich.
